About the Role

We’re looking for an Executive Assistant to support the day to day organisational and administrative duties of our busy CEO.

You will oversee the management of Tom’s hectic schedule, arranging meetings with internal and external contacts, helping him plan for upcoming events, and generally keeping his days and weeks running smoothly.

This role will be perfect for someone who is highly intuitive, confident, engaging, ultra-organised and resourceful. The ideal candidate will be a natural communicator, and someone that thrives in a fast-paced environment, with constantly evolving priorities.

Through supporting our CEO, you’ll get amazing insight into running a fast-growing business that’s helping change an industry, and be a core part of ensuring Motorway runs as smoothly as possible.

Responsibilities include:

  • Diary management - proactively managing meeting requests and organising the diary. Over time we’d expect you to begin to make decisions on which meetings are most important, when to move things around, and when to say no
  • Screening correspondence - including managing emails, messages and requests, and handling them proactively when appropriate
  • Research - providing background information to support upcoming meetings, or projects being worked on
  • Travel planning - organising regular travel and accommodation
  • Event planning - creating team meetings, board meetings, as well as meals and social events
  • Administration - taking minutes at important meetings, managing expenses and other ad hoc projects that will require problem-solving and attention to detail
  • Mirror the CEO’s office attendance when he is in (usually 2-3 days a week) so that you can greet and check-in clients and other guests for his meetings and events.

Requirements

  • Proven experience as a PA or EA, supporting individuals at c-suite/executive level, ideally in a fast pace scale-up environment
  • The ability to learn quickly, and make decisions proactively
  • Exceptional communication skills, with the ability to read the room and tweak your approach for the audience
  • You must be highly organised, and someone knows how to get things done
  • Experience in organising team events is a plus.
  • Proactive about using your own initiative to find solutions to problems.
  • Hardworking, positive attitude and warm, friendly personality
  • Must be dependable, trustworthy and discreet as you’ll be working with highly confidential information
