As our Workplace Experience Partner, you’ll play a key role in creating meaningful and engaging workplace experiences across one or more of Personio’s offices. By partnering with local Site Leads, Culture Champions, cross-functional teams, and third-party vendors, you’ll ensure our offices run smoothly and efficiently. You’ll also play a pivotal role in shaping a workspace that inspires productivity, collaboration, and a sense of community, directly contributing to employee satisfaction and retention.
You’ll collaborate with global peers in other Personio offices to implement and support global Workplace programs, including Office Experience, Food & Beverage, Events, Space Management, Facilities, and Health & Safety. Your work will directly contribute to fostering a positive, productive, and seamless environment for everyone at Personio.
Role Responsibilities: What you'll do- Drive Workplace Experience and Culture: Foster Personio’s culture in your offices by serving as the local liaison to employees, addressing queries, and responding to requests promptly.
- Manage Office Operations: Take ownership of the condition and functionality of your offices. Oversee vendor relationships, including reception, cleaning, janitorial, and maintenance, to ensure services meet high standards. Monitor SLAs, budgets, and vendor performance continuously.
- Collaborate with Internal Stakeholders: Build strong relationships with teams such as IT, Onboarding, People Operations, and Finance to support seamless office operations. Partner closely with the local leadership team, Site Leads, and Culture Champions to optimize office use, enhance productivity, and elevate the workplace experience.
- Support Real Estate and Space Optimization: Collaborate with the Real Estate team on space management, office optimization, and local real estate strategy.
- Plan and Execute Employee Engagement Events: Organize engaging and creative events that reflect Personio’s culture and principles. Work with the global Workplace Experience team to plan events such as gather-hours, company celebrations, holiday parties, and summer events.
- Implement Global Workplace Programs Locally: Roll out global Workplace programs in your offices, including Workplace Experience, Food & Beverage, Events, Space Management, Facilities, and Health & Safety.
- Ensure Compliance and Safety: Maintain physical security and ensure the office complies with all Health & Safety regulations.
- Drive Operational Excellence: Leverage technology and workplace tools to streamline operations, improve communication, and enhance employee experience.
- Passion for customer service, with 4+ years of experience in Workplace Experience/Office Management.
- Exceptional communication skills, with a proven ability to build strong partnerships cross-functionally, across all levels of the business, and with external stakeholders.
- Hands-on experience managing vendors within an office or workplace environment.
- Proven track record in designing and executing employee engagement initiatives, including full ownership of events from ideation to execution.
- A collaborative team player who thrives on sharing ideas and feedback to achieve common goals.
- Proficiency with GSuite (Gmail, Calendar, Drive, Docs) and Slack is essential; familiarity with Jira, Confluence, and Envoy is a strong plus.
- A positive, make-it-happen attitude, with the ability to pivot quickly to meet changing needs in a fast-paced, dynamic environment.
