Are you an organised, proactive, and detail-oriented professional who thrives when things are moving fast? Do you get energy from keeping complex schedules under control, making events feel effortless, and being the person leadership actually relies on? We’re looking for a Team Assistant to support our Executive Leadership Team (ELT) and help keep the executive engine room running smoothly. You’ll work across calendar management, travel, events, and company-wide initiatives — partnering closely with leaders and the COO office to deliver meaningful moments and keep things moving. This role sits at the heart of how our leadership team operates, and the impact you make will be felt across the whole company.

What will I be doing?

  • Calendar & scheduling: Manage complex, fast-moving calendars for the Executive Leadership Team (ELT) and individual executives — handling scheduling conflicts, prioritising with good judgment, and ensuring leaders are always set up for success.
  • Meeting & event coordination: Coordinate meetings and internal events from end-to-end — including venue sourcing, catering, logistics, gifts, and the little details (birthday cards, farewells) that make people feel genuinely valued.
  • Global & leadership events: Support the delivery of high-stakes company events including global offsites, ELT offsites, Strategy Days, Board meetings, and company-wide programs — handling logistics and coordination so nothing falls through the cracks.
  • Travel management: Coordinate and book domestic and international travel for executives via Navan — including flights, accommodation, itineraries, and any last-minute changes that inevitably come up.
  • EA Hub & process ownership: Keep the Notion EA Hub up to date — tracking processes, systems, and key information so the executive team always has what they need, and onboarding new team members is seamless.
  • ELT support: Respond to ad-hoc requests from ELT members with speed and care — from pulling information and preparing materials to solving problems before they become one.
  • Company initiatives & special projects: Work alongside the Corporate Communications team to drive company-wide initiatives and leadership events — helping bring our culture to life in a way people actually feel.

About you

  • Solid background in an executive assistant or team assistant role, with a proven ability to support senior leaders and manage competing priorities without losing the detail.
  • You have a system for everything and keep multiple balls in the air without dropping any. Your organisation skills and attention to detail is a given, not a differentiator.
  • Clear, confident communicator who can hold their own with senior stakeholders and knows when to escalate, when to act, and when to just handle it.
  • Comfortable with Google Workspace, Notion, Claude, and tools like Navan for travel. You pick up new platforms quickly and don’t wait to be trained — you figure it out.
  • Thrive in a fast-paced, ambiguous environment where priorities shift, and plans change. You adjust without drama and find a way through.
  • Trusted with sensitive information across the most senior levels of the business. You handle it with care, always.
