The Role

Tema is hiring a CRM Analyst to own our HubSpot installation and elevate it into a real distribution asset. Today, our CRM holds a growing set of client relationships, third-party data feeds, and campaign history—with considerable untapped potential. This role exists to change that: To build the systems, segmentation, and reporting that let our sales and marketing teams act on what we know.

You will be the connective tissue between marketing (where leads originate) and sales (where they convert), with direct visibility to firm leadership. You will partner closely with our heads of marketing and distribution, and you will work cross-functionally with operations and external data vendors.

Responsibilities

HubSpot ownership

  • Serve as the primary administrator of HubSpot—including data architecture, custom properties, workflows, lead scoring, and lifecycle stages
  • Build and maintain dashboards that give sales and leadership a clear, real-time picture of pipeline, engagement, and channel performance
  • Establish data hygiene standards and routinely audit for accuracy, duplication, and decay

Distribution & sales support

  • Own segmentation logic across channels (wirehouse, IBD, RIA, family office, institutional) and themes
  • Build target lists and call-down tools that prioritize advisor outreach based on engagement, AUM, and platform access
  • Manage integration of third-party advisor data (Broadridge, Discovery Data, FactSet, etc.) and reconcile against internal records
  • Track and report on sales activity, pipeline movement, and conversion metrics

Automation & campaign analytics

  • Connect campaign engagement to downstream sales and AUM outcomes—building the attribution view that today doesn't exist
  • Manage email and digital advertising segmentations, suppression rules, and compliance with CAN-SPAM and firm policy

Reporting & insight

  • Produce recurring reporting for executives, the board, and the product committee on advisor engagement, channel mix, and campaign ROI
  • Surface insights—not just data—that change how the team allocates time, travel, and budget

What You Bring

  • 3–5 years of experience in CRM, marketing operations, sales operations, or a closely related analyst role
  • Hands-on HubSpot experience is required — you've configured it, not just used it. Certifications a plus.
  • Strong Excel skills; comfort with SQL or comparable query tools is a meaningful plus
  • Experience with Broadridge, Discovery Data, AdvizorPro, or similar advisor/intermediary data sources is preferred
  • Background in asset management, ETFs, wealth management, or adjacent financial services is preferred but not required
  • Clear written and verbal communication—you can explain a workflow to a sales rep and a board member with equal fluency
  • Detail orientation paired with judgment about what actually matters
